Sales Management Administrator – Campanale Homes

Description:

Award winning Campanale Homes is seeking a Sales Management Administrator to join our dynamic team.

The general and specific requirements of this position are to provide administrative duties as required for the sales management team. The position entails working at the head office AND at our satellite sales offices, including but not limited to:

  • answer sales inquiries, schedule appointments and maintain sales management calendars
  • accept and direct all incoming sales mail and courier items appropriately
  • organize and maintain the sales management office paper work, including but not limited to maintaining an organized and easily accessible filing system
  • assist clients as required at both head office and satellite sales offices
  • prepare Agreements of Purchase & Sales for all satellite sales offices
  • maintain the latest version of sales product specifications for all satellite sales offices
  • coordinate professional courses and training
  • create job postings required for the sales department
  • assist sales staff with administrative requirements and issues as required by sales management
  • provide coverage as requested by sales management for sales satellite offices
  • coordinate scheduling of model home and completed inventory cleanings
  • order supplies as requested by satellite sales offices
  • facilitate and maintain distribution and ordering of marketing materials and signage between marketing and satellite sales offices
  • prepare documents for MLS listings – Campanale Homes
  • maintain the database of all listings (MLS Documents on company server)
  • update all forms when notified of changes by R.E.B.O.C.
  • ensure all pertinent documents are received from real estate agents and Campanale Homes, sales personnel
  • post all MLS listings and follow appropriate MLS listing checklist (for listings and sales)
  • load listings onto MLXCHANGE
  • when home sales are finalized, prepare trade records, and process Agreements of Purchase & Sale, including all pertinent documents as outlined on Campanale head office “Firm APS” checklist and forward to the accounting department
  • prepare lawyer letters and invoicing
  • book personal appointments for sales management
  • organize all personal bills/correspondence for sales management for payment or appropriate further action
  • assist other team members as required and facilitate clear communication between the sales management team and all other Campanale Group of Companies divisions and departments, as well as Campanale clients and service providers.

Specific skillset requirements:

  • Microsoft; Office, Word, Excel
  • Adobe Acrobat
  • Strong organizational abilities
  • Strong phone and customer relations abilities

Knowledge & experience with the following would be considered a valued asset:

  • New home APS (Agreement of Purchase & Sale)
  • Real Estate Board and MLXCHANGE
  • GEAC
  • Presentations and event planning
